To give a user access to someone else's OneDrive folder (a shared folder), follow these steps. The owner of the folder can share the folder with other users and grant them access, and it can be done directly through the OneDrive app or the Microsoft 365 admin center if needed.
Option 1: Share a OneDrive Folder Directly (User's Side)
If you are the owner of the OneDrive folder and want to share it with someone else, here’s how you can do it:
Step 1: Sign in to OneDrive
- Go to https://onedrive.com and sign in with your Microsoft 365 account.
- If you are using the OneDrive desktop app, you can open it directly on your computer.
Step 2: Find the Folder You Want to Share
- In OneDrive, navigate to the folder that you want to share.
- Right-click on the folder or select the three dots (More options) next to the folder.
Step 3: Share the Folder
- Click on Share.
- In the sharing window, you can either:
- Enter the email addresses of the people you want to share the folder with.
- If the folder is being shared with multiple people, you can set permissionsfor the folder:
- Can edit: Users can modify the files and add new ones.
- Can view: Users can only view the files.
- (Optional) Click on Anyone with the link can edit(or view) if you want to customize the sharing settings:
- Allow editing or restrict access.
- Set an expiration date for the shared link, or require a password for added security.
- After setting the options, click Send or Copy link to share the folder.
Option 2: Grant Access via Microsoft 365 Admin Center (Admin's Side)
If you’re a Microsoft 365 administrator, you can grant access to someone else’s OneDrive folder through the Admin Center (for cases where the folder owner can’t share it directly, e.g., if they are unavailable).
Step 1: Access the Microsoft 365 Admin Center
- Go to admin.microsoft.com and sign in with your global administrator credentials.
Step 2: Access OneDrive User's Settings
- In the Admin Center, go to Users > Active users.
- Search for and select the user whose OneDrive folder you want to share.
- Under the OneDrive settings, click Manage OneDrive.
Step 3: Access Shared Folder
- From here, click on Create link to files (or something similar, depending on the interface).
- You can grant view or edit access by creating a link to the folder or files within their OneDrive.
If you want to give more specific access to multiple folders or grant administrative control, you may need to take additional steps such as:
- Configuring external sharing settings in the Admin Center to allow sharing between users.
- Using PowerShell scripts for advanced sharing configurations if necessary.
Option 3: Give Admin Access to OneDrive (Advanced Scenario)
In cases where you need to fully manage the user's OneDrive (for example, as an admin), you can access their OneDrive as an administrator.
- Go to the Microsoft 365 Admin Center.
- Under Users, select the user whose OneDrive you want to manage.
- Click OneDrive and select Access files to open their OneDrive.
- From here, you can manage the files or folders as needed.
Option 4: Sharing via Microsoft Teams or SharePoint (If Integrated)
If you’re collaborating on files stored in OneDrive through Microsoft Teams or SharePoint, you can grant access through the corresponding Teams or SharePoint interface.
- In Microsoft Teams, open the Files tab for a specific channel or chat.
- Share folders or files directly with users within the channel or chat.
- In SharePoint, use the Sharing settings on the document library to grant access to users.
Important Notes:
- Permissions: Be aware of the permissions you're granting to ensure users can only access what’s necessary. Always double-check Can edit vs Can view permissions.
- Access expiration: You can set expiration dates for links shared via OneDrive for enhanced security.
- Advanced Admin Access: Only global admins can access other users' OneDrive as described in Option 3.
